Quality integrated management system
Our intranet-based Integrated Management System ensures high-quality service delivery. The system contains our internal corporate documentation, policies and procedures, and individual contract documentation. Our customers and Operations Managers are provided with secure access to their section of the system, which contains all relevant information about the contract.
The key benefit to the customer is direct access to real-time information regarding the operations of their properties. This immediate access is a more efficient way for our customers to view information relating to the cleaning of their property (i.e., daily inspection reports instantly uploaded via tablet from our site-specific ‘Quality Inspection system’, monthly reports, quality and environmental reports and corrective actions).
The system allows transparency which leads to more collaborative management of our service. The system also reduces the need for hard copies of reports, which helps to minimise our environmental impact.
Service delivery strategy
Cirka develops site-specific manuals, checklists and training programs for every contract. A structured approach is then taken to ensure all designated areas are cleaned following the work scope. We develop a cleaning schedule to document all areas of service requirements and their frequency. Our directly employed, inducted and experienced cleaning staff are then issued copies of the programs and provided site-specific training.
Our management team supports all cleaning staff and is involved in regular site meetings to discuss service delivery, performance and continuous improvement processes, which are then recorded into our intranet-based Integrated Management System.
Health & Safety Management system
Cirka has an excellent health and safety record due to our commitment to the well-being of our employees and customers. We have been certified to ISO 9001 since 1995, with additional certification of our Occupational Health and Safety (OHS) Management System to AS 4801:2001 standard, which complies with all relevant state regulators. We have also achieved and maintained our cm3 prequalification accreditation since 2010.
Our accredited OHS Management System is managed by our OHS & Environment team and is subject to regular external third-party audits as part of our ongoing accreditation process.
Our system requires us to create site-specific OHS plans, including all forms, records, checklists and supporting documentation, which is then uploaded to our Integrated Management System for our customers and Operations Management team to access anytime.
Our eligibility for the cm3 prequalification certification is assessed annually, which provides an additional review of our documentation.
Staff Training
Employee training is an integral part of our business; this starts during our induction process and continues with site-based training and ongoing development. We recognise the importance of workforce training and its critical role in supporting safe and efficient service delivery.
The company induction is given before a newly appointed staff starts their first shift with us. This comprehensive procedure provides each new starter with information about the following:
- Cirka story, structure, goal & values
- Roles & responsibilities concerning the IMS
- Environmental issues associated with work
- Abilities required to achieve assigned tasks safely
- Quality of workmanship
- Equal employment opportunity and awareness of bullying, harassment and discrimination
Site inductions are delivered to all team members before commencing work. We use an innovative installation and training module called CS Induction, an online portal that covers all essential training provided by Cirka.
CS Induction enables our employees to log in, view an audio-visual presentation, view our training manual, and complete an online assessment. Where approved, contractors can also access this system to meet our company induction before commencing any work for Cirka.
All staff OHS training is reinforced through weekly toolbox meetings, quarterly site meetings, training sessions and yearly induction refresher sessions.
The site induction typically includes:
- Emergency evacuation procedures
- Site orientation
- Site cleaners room (equipment, chemicals, first aid & spill kits etc.)
- Customer service training
- Contract-specific information (site needs according to risk controls and client requirements)
